JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 serves as support and assistant to the department faculty, staff, students, and the outside community. This position manages all academic departmental administrative tasks for the four academic programs in DDHS: 1) Medical Laboratory Science; 2) Cytotechnology and Histotechnology; 3) Health Informatics and Information Management; and 4) Pathologists' Assistant.


Responsibilities
  1. Serves as the coordinator for student evaluations of classes and assists with enrollment of students each semester/term; schedules and coordinates the timetable for the classes.
  2. Serves as the general administrative support and assistance for all daily tasks, activities, and procedures for the department.
  3. Coordinates the semester course evaluations to retrieve data and analysis for each course; prepares reports for faculty, program directors and department chair.
  4. Maintain student files with information related to application, vaccinations/clinic, licensure, and graduation.
  5. Assists faculty and students with the comprehensive exam by disseminating information, collecting materials, exams, and compiling results.
  6. Assists with the advisor list for each class level by maintaining an up-to-date database with needed information including transcripts.
  7. Utilizes Nolij, Argos, CSDCAS and Banner to obtain reports and student information, admissions information, and applications.
  8. Maintains listservs and directories for the department, program, faculty, staff, and students for communication purposes such as academic letters, financial awards, etc.
  9. Maintains correspondence with students, faculty, staff, students, various University departments and programs, and the outside community and agencies as it relates to their informational and data-specific needs, inquiries, concerns, procedures, policies, and deadlines that are occurring and need to be fulfilled.
  10. Maintains communication with potential students; schedules visits, answers questions, provides certain generalized data information such as median GPA and GRE score of the previous entering class, sends out pamphlets and information to potential students, etc.
  11. Handles and maintains lock and key requests for all the faculty, staff, and students.
  12. Performs other duties as assigned.

Qualifications
MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative/office experience preferably in a university setting; OR Associate's Degree and two (2) years of administrative/office experience; OR Bachelor's Degree in lieu of experience. Must have a valid driver's license.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Excellent written and oral communication skills.
  • Ability to demonstrate excellent organizational and interpersonal skills.
  • Ability to stay organized and multi-task.
  • Knowledge of computer hardware (setting up webinar equipment) and software (Microsoft Word, Excel, PowerPoint, Publisher).
